Finance Specialist

    General Summary:

      Responsible for processing cash receipts for all non-dues transactions and for assisting with dues and new member application processing. This position also processes banking deposits, transfers between accounts, and reporting; assists in reconciling monthly bank accounts and statements. Researches and resolves routine or non-routine problems. Communicates with internal and external customers. Primary point of contact with financial institutions.

    Principal Responsibilities:

    • Prepare, record, and post deposits of non-dues revenue received (cash and credit cards), including subscriptions, miscellaneous section income, publications, meeting registrations, mailing list and label orders, advertising revenues, and other membership services
    • Process banking deposits and transfers between accounts
    • Process daily cash receipts
    • Integrate cash receipts between iMIS and Great Plains
    • Assist with processing new member applications
    • Assist with accounts payable when necessary
    • Assist with reconciling bank accounts, investment accounts, and statements
    • Assist with new member dues payment processing
    • Report and keep bank deposits and investments records
    • Provide information to employees, sections, committees, etc.
    • Perform related work as assigned

    Minimum Position Guidelines (Education, Experience, Knowledge, Skills, and Abilities):

    • High school diploma required; Associate degree preferred
    • Five years of related work experience required
    • Accounting software experience required, Great Plains accounting software experience preferred
    • Knowledge of membership software preferred
    • Knowledge of accounting terminology and practices required
    • Knowledge of general record keeping and filing systems required
    • Knowledge of spreadsheets and database software required
    • Ability to reconcile and/or balance financial transactions and accounts
    • Ability to compare data from a variety of sources for accuracy and completeness
    • Ability to work under stressful conditions, meet schedules and deadlines
    • Ability to communicate effectively

Investigator

General Summary:

Investigate applicants applying for State Bar of Michigan Character and Fitness certification in conjunction with the Michigan Bar Exam, in accordance with standards imposed by the Supreme Court. Determine appropriate course of action to take in following investigative leads, obtain and analyze relevant information, and make appropriate recommendations on findings.

Principal Responsibilities:

  • Conduct investigation on Bar Applicant files. Perform document research and background checks using various resources.
  • Compile, analyze and evaluate investigative information and make recommendations on findings.
  • Adhere to established deadlines for each exam cycle.
  • Maintain complete confidentiality.
  • Compose formal written correspondence; respond clearly and concisely to telephone inquiries.
  • Contact and interview witnesses.
  • Prepare applicant files for Standing Committee Hearings, and assist assigned State Bar Counsel in hearing preparation.
  • Track all incoming and outgoing mail.
  • Actively promote diversity within the office.
  • Perform other duties as necessary.

Minimum Position Guidelines (Education, Experience, Knowledge Skills, and Abilities):

  • Bachelor’ s Degree in Criminal Justice, Paralegal Studies, or other equivalency required.
  • Three to Five years work experience with demonstrable responsibilities in a deadline driven environment emphasizing document analysis and attention to detail.
  • Excellent written and verbal communication skills, and ability to foster good working relationship with applicants, Committee and team members.
  • Ability to meet department standards with regard to job knowledge, quality, quantity, efficiency, attention to detail, initiative, teamwork, customer service, and overall performance.

Operations Support Assistant

    General Summary:

      The Operations Support Assistant is responsible for the front desk reception, telephone reception, mailroom, and facilities administrative support services provided to members, the public, and State Bar staff. 

    Principal Responsibilities:

    • Greet and appropriately direct visitors
    • Answer the main telephone switchboard and route member, public, and staff telephone calls to appropriate area and track call volume
    • Receive and process incoming packages, faxes, certified mail, and deliveries
    • Process and distribute both incoming and outgoing mail
    • Process publication material orders and maintain inventory
    • Coordinate maintenance of postage equipment and supply orders
    • Coordinate facility maintenance requests with janitorial contractor and vendors as appropriate
    • Assisting in placing approved orders for furniture, equipment, and supplies
    • Code facility and postage related invoices
    • Organize common storage areas
    • Receive, organize, and take inventory of the general office supplies
    • Monitor parking lot for unauthorized vehicles as required
    • Primary backup for meeting room scheduling and room set up
    • Perform other clerical duties at the receptionist station as necessary
    • Promote diversity
    • Other duties as assigned

    Minimum Position Guidelines (Education, Experience, Knowledge Skills, and Abilities):

    • High school diploma; or equivalent
    • One to three years similar work experience
    • Ability to operate mail room equipment, telephone switch board, and computer
    • Ability to communication effectively
    • Ability to work extended hours when needed
    • Receptionist experience required
    • Experience in mail room operations required
    • Experience working with the public and vendors preferred
